Part Time NGLCO Executive Administrator

As the Executive Administrator for the NGLCO you are responsible for managing projects, events and activities for the board and following up with requests of the president & board members. Maintain records of board meetings, secure location, programming and sponsorships for events, annual memberships, make deposits and
provide detail to the Treasurer. Take photos of events and meetings for promotional
purposes. Write a monthly newsletter for the members. Assist as needed, lead, as
necessary. Manage accounting and relay all the financial activity to NGLCO Treasurer.
Keep schedules updated and board members informed on upcoming events and
association involvement.

MEETINGS: Arrange and attend monthly Board of Directors meeting, record minutes
and email to board members in a timely fashion (within 2 weeks). Typically, the board
does not meet in January, April, and May.

CORRESPONDENCE: Pick up mail at the Madison Post Office PO Box twice weekly, respond, share as appropriate.

Write and send letters/emails as requested by executive board (President or Vice President).

For past events write thank you letters to sponsors & participants.

Create & email monthly newsletter.

SOCIAL MEDIA: Facebook & Instagram– maintain site and posts with additional Administrators.

COORDINATE EVENTS: Secure location, catering, finalize programing (secure needs for presenter) create flyer (Publisher simplifies this), email to membership, collect fees and record attendees, provide name tags, and assist at meeting (registration & fees) at check in table.

Annual events include Presentation dinners, Golf Outing, Field Day, Casino Night/Reception, Annual Meeting/Clambake, Annual Christmas Open House.

FINANCES: Make deposits and provide detailed records for treasurer. Keep an updated registry of expenses and checks issued.

MEMBERSHIP: Maintain records of membership status and make deposits as required,
contact info for caller list. Keep website list current and solicit new members.

MISCELLANOUS: Represent NGLCO as required with other organizations.
